1. Who we are
Ace Designs Inc. (“Ace Designs,” “we,” “us”) is a large-format print, CNC, and design company
located at 320 George Patterson Blvd, Bristol, PA 19007 (www.acedesigns.com). For questions
about this notice or your personal data, contact [email protected].
2. Scope
This notice explains how we handle personal data for website visitors, our customers and their
representatives, our employees and job applicants, and our vendors. It also explains our role
when we handle personal data contained in client-supplied project files (see Section 8).
3. The personal data we collect
● Customers / prospects: name, business contact details, billing and order information,
and correspondence.
● Website visitors: information you submit through forms — including contact and lead-
inquiry forms and our newsletter signup (email address) — and limited technical data (IP
address, browser type, cookies) — see Section 9.
● Job applicants (website application form): name, email, phone, home address,
position sought, desired pay, employment details you provide, and your resume and cover
letter. Applications are delivered by email to our hiring staff and stored in our website's
form database.
● Employees / applicants (HR): the personal and employment data needed to hire, pay,
and administer employment, including sensitive data such as government identifiers and
payroll/bank details, processed through our HR/payroll provider (Paycor).
● Vendors: business contact and account details.
4. How we use it, and our legal basis
We process personal data to fulfill and invoice orders, communicate with you, run our website,
evaluate job applications, send our email newsletter to subscribers, employ and pay staff,
manage vendor relationships, and meet legal obligations. Our legal bases are performance of a
contract, compliance with legal obligations, and our legitimate interest in operating the business;
where required, consent (e.g., certain cookies and the newsletter). You can unsubscribe from
marketing email at any time using the link in each message.
5. How we share it
We do not sell personal data. We share it only with service providers who process it on our
behalf under contract, including Google Workspace (email and file storage), Paycor
(HR/payroll), Radius180 (managed IT and backup), Breach Secure Now (security-awareness
training), WP Engine (website hosting), Google (Tag Manager and Analytics for our website),

and HubSpot (website lead and contact forms, newsletter, and marketing email). Job application
submissions are not shared with HubSpot. Each provider is required to protect the data and use
it only for the services they provide to us.
6. Where we process it / international transfers
Ace Designs operates solely in the United States, from a single location, and does not transfer
personal data internationally on its own initiative. Where we process personal data on behalf of
a client under their instruction, any transfer is governed by the agreement with that client.
7. How long we keep it
We keep personal data only as long as needed for the purposes above or as required by law,
then securely dispose of it in line with our internal security policies. Client project files are
retained for up to 2 years after job completion and are eligible for deletion thereafter; earlier
return or deletion on client instruction takes precedence. Hard-copy client records are retained
for approximately 3 years, and business and financial records for at least 7 years. Employment
and payroll records are retained for the duration of employment and thereafter as required or
permitted by law. Newsletter subscriptions are kept until you unsubscribe.
8. Client project files (our role as a processor)
When a client sends us files to print or fabricate that contain personal data, we act as a
processor and handle that data only on the client's documented instructions, under the
agreement with that client. We do not use client-supplied personal data for our own purposes.
9. Cookies and website data
Our website uses cookies for site functionality and comments, and uses Google Tag Manager
and Google Analytics to understand site usage. Login and comment cookies persist for defined
short periods; you can control cookies through your browser.
10. Your rights
Depending on your location, you may have the right to access, correct, delete, or export your
personal data, and to object to or restrict certain processing. To make a request, contact us at
[email protected]. We will verify your identity and respond within the timeframe
required by applicable law.
11. How we protect it
We maintain administrative, technical, and physical safeguards, managed with our IT provider
Radius180 and documented in our written information security program (WISP). If a data breach
affecting personal data occurs, we follow our documented incident-response and breach-
notification process.
12. Changes

We may update this notice; the “last updated” date reflects the latest version.
